PrintCHECK guide
How to print checks from QuickBooks Online
QuickBooks Online can print checks on its own, and for a handful of checks a month that is often enough. This guide walks through the built-in process, the problems people usually run into, and when a dedicated check printing app is worth it.

Printing checks with QuickBooks Online's built-in tools
QuickBooks Online prints the checks you mark to print later. The process has three parts: record the check, set up alignment once, then print the queue.
- Record the payment. Create a check (or pay bills by check) and tick Print later instead of entering a check number.
- Run print setup. The first time, QuickBooks asks what kind of check stock you use — voucher, standard or wallet — and prints an alignment sample on plain paper so you can adjust it.
- Print the queue. From + New › Print checks, choose the bank account, confirm the starting check number, select the checks and print.
- Confirm the result. QuickBooks asks whether the checks printed correctly. If some did not, you can mark them to reprint.
The problems people run into
Built-in printing works best when your paper is Intuit-compatible pre-printed stock and one person prints for one bank account. Outside that, these come up again and again:
- Alignment drifts between printers or after a driver update, and the only fix is nudging offsets and printing more samples.
- The layout is fixed. You can choose a check type, but not move fields around to suit your bank's stock or add a second signature line.
- No MICR line. Built-in printing expects pre-printed checks that already carry the bank's MICR line, so blank stock is not an option.
- Number gaps after a jam. When a batch fails halfway, working out which numbers actually printed and which need reprinting is manual.
- No record of what printed. There is no list of batches, who printed them, or whether a check was edited after it went out.
Printing with a dedicated app: the PrintCHECK way
PrintCHECK connects to QuickBooks Online and handles the printing side separately, so your bookkeeping in QuickBooks does not change. You still record checks and bill payments in QuickBooks as usual.
- Sign in with Intuit and connect your QuickBooks Online company. Checks and bill payments paid by check import automatically.
- Add each bank account with its routing and account numbers, next check number and signatures.
- Design the layout over a scan of your stock in the check designer.
- Select the checks to print. PrintCHECK assigns numbers in sequence and renders a PDF with one check per page.
- Print, then confirm the batch. Anything unconfirmed stays in the queue and can reprint on the same numbers.
| QuickBooks Online built-in | PrintCHECK | |
|---|---|---|
| Layouts | Voucher, standard, wallet | Any layout you design |
| Blank stock with MICR | No | Yes |
| Bill details on voucher stub | Yes | Yes |
| Numbering per bank account | Starting number per print run | Tracked sequence with gap report |
| Edits after printing flagged | No | Yes |
| Print history with PDFs | No | Yes |
Which should you use?
If you print a few checks a month on standard Intuit stock and alignment is behaving, the built-in tool is fine. If you print in volume, use more than one bank account, want to print on blank check stock, or need a record an auditor will accept, a dedicated app pays for itself quickly.
